CABIN RENTAL POLICY AND AGREEMENT

By signing the rental policy and agreement form, I agree that I have read, fully understand and agree to all the below policies and to hold harmless from any responsibility or liability, Cozy Cove Cabin Rentals, LLC, cabin owners and their representatives resulting from any loss, damage or personal injury incurred by any Guest on the rental cabin premise.

This agreement constitutes a contract between the Guest(s) and Cozy Cove Cabin Rentals, LLC (CCCR)

CCCR serves as the agent and representative of all owners of rental cabins in our rental program, and is acting at all times, in and for the best interests of the owners.

MINIMUM STAY REQUIRED - There is a 2-night minimum stay required at all cabins year-round. There is a 3-night minimum stay required during holidays including New Year's, Easter, Memorial Day, Independence Day, Labor Day, Thanksgiving, and Christmas.

CHECK-IN TIME is 4 PM at the rental office. CCCR will use all reasonable efforts to have the cabin ready for guest occupancy at check-in time, but CCCR cannot guarantee the exact time of occupancy. If you are unable to be at our office before 5pm, you can call our office on the day of your arrival (after 3pm) to get the lock box code for the cabin.  You will need to come to our office the following morning to complete the "check in" paperwork.

* Please note - NO ARRIVALS allowed on THANKSGIVING DAY, CHRISTMAS DAY(Dec. 25) , NEW YEARS DAY (Jan 1). Arrivals on the day before these dates must check into our office no later than 5pm.

* We are not a resort and DO NOT offer 24-hour services! You MUST check in by 5:00PM, before our office closes.

* We can not guarantee the DVDs, TVs, or VCRs or WiFi/DSL/Internet service.

CHECKOUT TIME is no later than 10 AM. Please be prompt to allow adequate time to prepare the cabin for the next guests and return all keys to the cabin's key lock box before leaving to avoid additional charges.

RESERVATION REQUIREMENTS – Reservations will be charged the entire rental amount minus the security deposit (in order to secure cabin & dates). Reservations are accepted online at our secure websiteCozy Cove Cabin Rentals, LLC accepts MasterCard, Visa, and Discover (sorry no personal checks). The guest making the reservation, must be the same name on the credit card provided, a guest in the cabin and will be required to come to the CCCR office for "check in".  The guest making the reservation, must be the same name on the credit card provided, a guest in the cabin and will be required to come to the CCCR office for "check in".  The check in process only takes about 5 minutes.  The damage/security deposits will be voided after housekeeping determines that no damage has been done to the rental cabin and check out instructions have been followed. In the event damage is found at the rental cabin and/or the checkout instructions have not been followed, the entire security deposit may be retained by Cozy Cove Cabin Rentals, LLC.

PAYMENT -  Reservations must be paid in full in order to secure your selected cabin and dates. Requested changes to your reservation (dates, guests, cabin, etc) will be assessed a $50 processing fee.

CANCELLATION – A $125 fee is assessed for all cancellations. However, if Guest(s) cancel less than thirty (30) days prior to the arrival date there will be NO REFUND. The reservation amount will be credited for another stay and must be used within one year of cancellation date. For a refund of reservation amount (less $125 fee), cancellations must be in writing and received by Cozy Cove Cabin Rentals, LLC at least 30 days prior to arrival date.

NO-SHOW POLICY – The total amount of the reservation will be charged along with a $125 processing fee.

CONFIRMATION – Confirmation of the reservation will be e-mailed to Guest upon completed processing of the reservation and payment. Please read the confirmation for accuracy of cabin name, dates, charges, your name, number of guests and dogs (where dogs are allowed only). Report any errors to CCCR immediately upon receipt of confirmation. Pay close attention to the number of persons on the confirmation. Occupancy is limited to REGISTERED GUESTS ONLY. Absolutely no overnight visitors are allowed without prior arrangements made in advance in writing to CCCR.

ADDITIONAL GUESTS (More than the reservation agreement state) – Additional guests, over the age of 4, must be pre-approved by CCCR and there will be a charge of $10 per person, per night. There is no charge for children age 4 and under. If you reserve a cabin with more than 4 adults and are charged the extra $10 per person, per night and the additional guest do not show or cannot make it, we do not offer any refunds or adjustments to your bill once you have made the reservations. If you reserve a cabin and you are only going to have additional guest part of the time or on certain nights we do not adjust the bill. Any additional guest(s) over the amount of 4 (older than 4 years of age) is $10/night per person plus tax for the entire stay.

KEYS – All keys must be returned to the cabin key lock box upon at departure. Our rental cabins are privately owned and Guests are responsible for lost keys. The property must be re-keyed in the event the keys are lost, misplaced or not returned and you will be responsible for the cost of this procedure.

SATELLITE OR CABLE TELEVISION – All cabins are privately owned and have different subscription packages for satellite or cable TV. CCCR does not guarantee any programs or events.

TELEPHONE CALLS – Some cabins are equipped with a telephone. All long distance calls are to be placed by credit card, or calling card.

SMOKING – Smoking is never permitted inside any cabin. Outside smoking is permitted but please do not litter.

WE DO NOT PROVIDE FIREWOOD FOR CABINS!

ALCOHOLIC BEVERAGE – By Georgia Law, no drinking of alcoholic beverages by persons under the legal age of 21 is allowed.

FIREWORKS – of any kind, are NOT permitted to be used at any Cozy Cove property. NO FIREWORKS at any time.

BUGS & BEES - There is going to be bugs & bees because this is the mountains. Bring some spray!

DOGS – Some cabins allow dogs so please contact us prior to reserving a cabin if you would like to bring your dog with you. The dog fee is $15 per night per dog. Dogs must be housed in a crate inside of the cabin when Guests are away from cabin. There is an additional dog deposit of $150, which will be treated the same as the cabin rental damage deposit. If you reserve a cabin and and are charged the dog fee and decide not to bring the dog, we do not offer any refunds or adjustments to your bill. If you have a dog and it is not listed on the reservation agreement, your immediate eviction and loss of all rents and security deposit will result. Prior permission must be granted. Dogs are not allowed on furniture or bedding. Additional cleaning fees can be charged if guest does not clean up after their dogs.

BOATS - You are welcome to bring your boat to our cabins.  However, you are not allowed to launch a boat at any cabin location.  There are public boat ramps located around the lake for you to use.  Parking your boat trailer at the cabin should be a consideration as there may not be adequate room for the trailer & additional vehicles.

CABIN FURNISHINGS & EQUIPMENT – All cabins are privately owned with furnishings and equipment provided by the cabin owner. CCCR cannot make any changes to this. Moving of furniture is prohibited. If you require special appliances or equipment, please bring them with you. Décor, style, color and themes will vary between cabins. Furnishings are subject to change without notice.

LINENS – All cabins are supplied with bed linens, towels, blankets and pillows. These items are not changed during your stay. CCCR provides your initial supply of paper products, hand and dish soaps, and trash bags, for your convenience.

ITEMS PROVIDED – We are not a Resort or Hotel! We will only start you off with the following items: Toilet Paper, Paper Towels, Laundry Soap, Dish Soap and Hand Soap. We DO NOT provide: Shampoo, Conditioner, Bath Soap, Shaving Cream, Razors, Toothpaste, Mouthwash or Hair Appliances. ALL linens are provided.

CABIN DESCRIPTIONS AND RATES – Information regarding the individual cabins is believed to be accurate but cannot be guaranteed. We have made every effort to ensure that all the information on CCCR’s website is current and accurate. The possibility of errors and omissions still exists. We will be happy to confirm all the rates; however, furnishings, fees and taxes are subject to change without notice. Rates for weekly stays are found on our website at www.cozycovecabinrentals.com. Rates for holidays, special events and weekends may be slightly higher. Rates do not include tax or end-of-stay cleaning fee. Our Cabins can be rented for a two-night minimum stay. A minimum stay of three nights apply during holidays.

TAXES AND FEES - All reservations require an end-of-stay cleaning fee, a $35 administrative fee (non-refundable) and applicable taxes of 12% (7% state & 5% county - lodging tax). For dogs, a fee of $15 per night, per dog is charged with a $150 damage/security deposit per dog held. All extra persons over the amount of 4 are $10 per night per person or $60 per week per person. Children age 4 and under stay free!

CHECKOUT PROCEDURES – We ask that you please comply with the following items prior to checkout:
* Property should be left in the same condition it was when you arrived.
* Remove all linens from beds that were used.
* Discard all leftover food from freezer, refrigerator and cabinets.
* All litter, cigarette butts and dog waste must be picked up from the yard and placed into trash bags.
* All trash must be bagged & trash put in the outside garbage cans. NO LOOSE TRASH is allowed.
* Lock all windows and doors. Turn off all ceiling fans and lights.
* Set A/C to 78 or heat on 55 degrees, depending on season.
* Wash, dry and put away all dishes, pots, pans and kitchen utensils (do not leave in dishwasher).
* Wash and dry towels. If towels are not washed and started in dryer, there will be an additional $25 charge.

REPAIRS – SERVICE CALLS – CCCR cannot guarantee against mechanical failure of heating, air conditioning, hot tubs, TV’s, satellite receivers, VCR/DVD players or other appliances. Please report any equipment that is not operating properly. CCCR will make every effort to resolve the problem as quickly as possible. Should a repair person make a call to a cabin and find the equipment in working order and the problem was due to Guest(s) oversight or neglect, the charge for the service would be the Guest(s) responsibility. All maintenance repairs must be reported to CCCR between 9 AM and 5 PM. Guest(s) understand and agree that CCCR or its repair people might need access to the cabin for the purpose of making the repair.

REFUNDS – or rate adjustments are not made for any inconvenience due to construction noise, road repairs, water levels, unused nights, early departures, delayed arrivals or reducing the number of nights reserved with less than 30 days notice. No refunds or reschedules due to inclement weather.

TERMINATIONS BY OWNER/SUBSTITUTIONS – CCCR strives to comply with your reservation request, however due to uncontrollable circumstance, i.e. changes in ownership, properties being removed from the rental program, mechanical problems, etc. We cannot absolutely guarantee a specific cabin. CCCR reserves the right to change your cabin without notice or liability should the cabin become unavailable. Neither the owner nor CCCR shall be liable for events beyond their control, which may interfere with your visit. This may include, but is not limited to Acts of God, Acts of Government Agencies, fire, war, inclement weather and construction noise. No refund will be offered in these circumstances. If a cabin you have reserved becomes unavailable, we will try to offer a comparable cabin at the same rate, satisfactory to you, or you may receive a refund of your deposit less a $35 processing fee. CCCR will try to give you as much notice as possible so other arrangements can be made.

HOUSE PARTIES ARE NOT ALLOWED – Rental Guest(s) understand that CCCR will accept responsible adults age 25 or older. Guest agrees that no more than the number of persons listed on the reservation agreement shall occupy the premise overnight. If more than the number of persons occupies the unit stated, the result will be a loss of total rent, damage/security deposit and/or additional charge(s) to your credit card. Guests shall not disturb or offend any neighbors, discharge firearms or use fireworks of any kind in accordance with State of Georgia and Union County laws.

COZY COVE CABIN RENTALS reserves the right to refuse service to anyone. All rental cabins are leased without regard to race, color, religion, sex, national origin or handicap.

CREDIT CARD – I, the Guest, will be staying in the cabin and provide my credit card number as a guarantee and authorization to pay all rent and security/damage deposits, accept all terms of this reservation agreement and accept all liability for any damage beyond normal wear and tear during the term of my lease with Cozy Cove Cabin Rentals. If I fail to do so, I understand that these costs will be charged to my credit card and all credit card sales are final. I am 25 years of age or older.

DOCKS AND PADDLE BOATS - All cabins are privately owned with equipment provided by the cabin owner. Some cabins may or may not have Paddle Boats and/or private docks for the guest to use. Guests understand that Paddle Boat and Dock usage is at their OWN RISK and WILL NOT hold CCCR or Cabin Owner responsible for ANY injury that might occur. It is absolutely forbidden for children to be in the paddle boat or on the dock without a responsible adult and life preserver.

HOT TUBS - Guest may not add any objects or chemical to the hot tubs. Guest agree to pay an additional fee of no less than $100, if hot tub has been compromised in such a manner that results in cleaning services being delayed. Hot Tubs have been cleaned prior to guest arrival. Guest agrees to pay an additional $50 if guest requests an additional cleaning of hot tub during guests' stay. Guests understand that hot tub usage is at their OWN RISK and WILL NOT hold CCCR or Cabin Owner responsible for ANY injury. It is absolutely forbidden for children to be in the hot tub without a responsible adult. Dogs are NEVER allowed in hot tubs.

ROADS - Roads leading to the rental properties can sometimes be dirt and gravel and mountainous and are sometimes bumpy. CCCR is not responsible for conditions of the road; NO REFUND will be offered.

BEAR-DEER-INSECTS - Guests understand and accept cabins are in the mountains/woods and depending upon the time of year may encounter Bear, Deer, Turkey, Ladybugs, Carpenter Bees, Wasps, Scorpions, Ticks, Ants, Chiggers, etc. Guests are encouraged to dress accordingly and to bring insect repellant for outdoor activities; NO REFUND will be offered.

LAKE LEVELS - Guests are encouraged to enjoy Lake Nottely however, the lake levels are controlled by the weather and TVA. CCCR cannot guarantee lake levels and will not offer refunds or rebates due to changes in the lake level.

LOCKOUT - Lock out of guest from cabin will result in a $65 service call during business hours. Guest agree that a lock out after business hours will result in a locksmith being called and guest credit card being charged accordingly.

KEY RETURN - Guest are responsible for returning the key back in the lock box of the rental property.
The key is to be placed back in the lock box and the door locked upon check-out, guest agree that the CCCR is authorized to charge the credit card on file for the cost of the re-keying or replacing all of the locks and re-issuing new keys to the cabin owners, cleaning crews and CCCR.

DOG POLICY - Guest acknowledge, understand, and agree that for CCCR to continue their very lenient dog Policy, the following items must be adhered to:

* Dogs are never permitted in hot tub. Guest agree to pay an additional fee of no less than $100 if dogs get into the hot tub.

* Dogs must be completely housebroken, well behaved and pest free.

* Dogs are NOT allowed on furniture or bedding. Guest will be charged a cleaning fee of not less that $50 if dog hair causes a delay in cleaning services.

* Guest agree that they will not use any cabin provided linens or towels on dogs. Only towels brought by guests should be used on dogs.

* Dogs must be in a crate/kennel while alone in cabin.

* Guest agrees to pay any damage caused by dogs.

* If the dogs have an accident in the cabin, clean up will be performed by the guests. Guests further agree to remove dog waste from the grounds, bag and deposit in outside garbage cans. Guests agree that failure to comply with clean-ups of either inside or outside cabin will result in an additional cleaning charge.

* If any of these dog policy items are not met, Guest is in violation of this Agreement/Policy. Guest understands that by agreeing to this Agreement/Policy, they are authorizing CCCR to charge Guest credit card on file for any damages sustained.

FIREPLACES/FIRE-PITS - All fireplaces are seasonal and are operational between October 1st and April 1st. Nothing shall be burned in gas log units and nothing other than hardwood or Duraflame type logs shall be burned in wood burning fireplaces. Logs in gas fireplaces must never be moved by the guest.  If the logs are moved, guest will be charged (no less than $35) to correctly aligned the gas logs for proper usage.  If the the property does not offer a fire pit guest will NOT make one, doing so is considered damage and guest will be charged accordingly. Guest agrees that no burning or smoldering fireplaces or fire pits shall be left by guest, ever. There is to be absolutely NO cooking of any food over the fireplaces or fire pits. Firewood is not provided for wood burning fireplaces.

SECURITY/DAMAGE DEPOSIT - There will be a $350 security/damage deposit held on the guests credit card to cover any unintentional damage up to $350. The deposit does NOT cover any intentional damage, theft, excessive cleaning or any flea infestation caused by dogs. There is an additional dog deposit of $150 per dog, which will be treated the same as the cabin security/damage deposit. Deposits will be held until housekeeping inspects the rental property to insure no damage was done during the guests stay and checkout procedures have been followed. Damage over the amount of $350 will also be charged to the guests credit card.

ITEMS LEFT BEHIND - CCCR is not responsible for any items guests leaves behind in the cabin. CCCR is authorized to charge a fee of $25 plus shipping costs for the return of any items guests leave behind in the cabin.

DOUBLE BOOKINGS - Double bookings are very rare but the possibility of errors exist. In the event that Guest(s) reservation for the rental property overlaps a reservation of another tenant, CCCR reserves the right to relocate Guest(s) to different property within the CCCR rental company. Every effort will be made to insure that the replacement property is reasonably comparable to the original property booked depending on how many properties are booked at the time. Guest(s) will have the option (1) accept the replacement property or (2) reject the replacement property and receive a refund all rent and fees paid for the rental property. Guest(s) agree that Guest(s) choice between these alternatives will be the Guest(s) sole responsibility of any and all damages, liability, or inconvenience arising out of the double booking.

VIOLATING AGREEMENT - If Guest(s) violates any of this Agreement; CCCR may terminate this Agreement on Premises. Upon notice of termination of this Agreement, Guest(s) shall vacate the premises immediately and forfeit all rents and security deposits.

We do not recommend the use of GPS, Mapquest or any Navigation Source as they do not always work for this area due to a recent county wide 911 address change. Please use the directions we provide for you! If you choose to use your own source of directions, we do recommend that you take a copy of our detailed directions for backup.

Take I75 North to I575 which becomes Hwy 515 (all 4 lane roads) follow Hwy 515 through Blue Ridge and past the Hwy 515/Hwy 60 intersection. Go approximately 2 miles further to the intersection of Hwy 515 and Loving Road (you will see a yellow Cozy Cove Realty billboard on your right and a gas station on the left). Take Hwy 19/129 north into Blairsville, GA. Follow Hwy 19/129 through the Blairsville town square until you get to Hwy 515. Turn left on Hwy 515, going towards Blue Ridge, GA, approximately 7 miles to the intersection of Hwy 515 and Hwy 325. Turn right on Hwy 325 (gas station on right corner) and follow down to stop sign, Hwy 325/ Nottely Dam Road. Turn left at stop sign to continue on Hwy 325/Nottely Dam Road. Take Hwy 76 into Blairsville, GA where it turns into Hwy 515. Continue on Hwy 515 towards Blue Ridge, GA approximately 7 miles to the intersection of Hwy 515 and Hwy 325. Please read and keep a copy for your records. To make reservations please fill out and submit the form on the last page. Your reservation is not booked until we receive the completed reservation request form with method of payment by Credit Card. Once the reservation is processed you will receive a confirmation by email, with directions and instructions (please allow 2 full business days).
